Holding "PRIORITY" Online Enrollment for your Active customers
Many organizations like to offer their current "active" customers priority in the upcoming session class selection, usually by opening enrollment to them a few days before allowing new or inactive customers to sign up. If you would like to offer online "Priority" to your active customers:
1) Assign the upcoming session's classes a future "Registration Start Date" of xx/xx/xxxx.
2) Inform your customers that Priority Enrollment will be available first to currently active families on Date xx/xx, and will later be opened to inactive and new families on Date yy/yy.
One day BEFORE xx/xx, (the day before the new classes' scheduled "Registration Start Date"), make the following changes to your database:
3) Go to TOOLS > CUSTOMER PORTAL > SETTINGS and check the "Only Allow Active Families to Register" box, and ensure you have explanation text in the Inactive Family Registration Message at the bottom of the page. Save changes.
Note: some organizations like to offer Priority to "all" their customers, whether active or inactive, and just prevent "new" ones from registering. If that is the case, simply skip this step, and anyone with Portal access can enroll.
4) Go to TOOLS > WEBSITE REGISTRATION > SETTINGS and at
Ability to Enroll in a Class, change to
NO. This will prevent new customers from being able to search for classes in your online Registration Form.
5) On that same page, go to
Show Register Links on Openings and change to
NO. This will prevent new customers from coming in through your Class Listings Tables if you are using those on your website. Save changes!
Online Registration is now ONLY available for Active customers coming through the Portal from date xx/xx to yy/yy.
6) Early in the morning on Date yy/yy,
uncheck the "Only Allow Active Families to Register" box in the Portal settings. Change the two Registration settings above back to YES. Save changes. Now inactive and new families may register and enroll online as normal.
Note: The functionality above impacts ALL your classes. There is not currently a way to offer Priority enrollment for only a specific Session, Category, of group of classes while maintaining regular enrollment for other classes.
